Start with the number of systems and hoods
List each local exhaust ventilation (LEV) system and the hoods connected to it. Describe the processes served, the materials handled and how operators use the extraction. HSG258 describes performance measurements at hood faces, branch ducts and the main duct, with pressure checks at suitable points. Give the examiner enough detail to identify the work being priced.
WBT Services identifies the size and complexity of the installation as cost factors because they affect the work needed for assessment. Ask the tester how your number of hoods and separate systems affects their scope. Include photographs or drawings if available, and explain any changes since the previous examination.
Explain travel and site access
WBT Services also identifies travel time and expenses as factors for remote or less accessible locations. Give each tester the site address. Ask whether travel is included in the total and whether they need more information before confirming it.
HSG258 says the employer and examiner should co-operate over safe access and any necessary permits to work. Describe access restrictions and when the relevant processes operate. Ask how those arrangements affect the visit and whether any access equipment needs to be agreed separately.
Check whether commissioning benchmarks exist
The examiner needs evidence of the intended performance to compare with current readings. Send the commissioning report, user manual, logbook and previous examination record where available. HSE says the examiner should tell you whether the information is adequate.
If the documents are missing, say so when requesting a quote. HSG258 paragraph 335 describes asking the examiner for a commissioning report as an additional service. It says that service and any costs need to be agreed between the client and examiner. Ask whether establishing a benchmark is included before accepting the price.
Include the written report and follow-up
The report should explain whether the equipment is performing as intended. If it is not, it should identify the problem and the action needed. Ask whether preparation of the written findings is included, how long it will take and when you will receive it. LevHQ has no verified report turnaround data and does not promise a delivery interval.
Ask how urgent defects will be communicated. Confirm whether the price includes repairs, adjustments or a return visit, and how any extra work would be agreed. The written scope should say what is included so you can compare the same work across providers.
